The Client

Best Theatre Arts – a theatre arts company for children, based in Hertfordshire.

The Challenge

Best Theatre Arts were in need of an information system to improve customer relationship management and the sharing of information between users in different locations. Their existing systems were best described by the client as follows:

“All the contact information about the students is held on a central spreadsheet – “the bible” and then various letters are generated as and when required. Other smaller spreadsheets are held and often shared via igoogle mainly with the owners of the business who work from a home office in St Albans.”

The Solution

During the consultation process we were able to breakdown the client’s current CRM process which brought inefficiencies into focus. The streamlined process and requirement for information collation were then transformed to a database schema and discussed with the client at length before finalising the specification. Our appreciation of the complex nature of the requirements prompted the client to comment “I can only say how fantastic you and your guys have been with all the help I’ve had over the last few weeks”

The cloud based solution combined Microsoft Office 365 with a hosted SQL database solution, this provided the client with both the familiar front environment and ‘access anywhere’ cloud based system.

The client is now able to instantly view a student record or course details from home, office or during classes. The invoicing module allows invoices to be raised through Outlook and be posted directly into Sage 50 accounting software. Class registers and management reports can be produced at the touch of a button.

Continued support has been provided, help being available via telephone or remote connection and users have benefitted from our on-site training sessions.
